Job Summary

This role is responsible for processing all release of information requests promptly and efficiently, ensuring accuracy while delivering high-quality customer service. At all times, the associate must protect the patient’s right to privacy by ensuring only authorized individuals access the patient’s medical information and by making sure that every release complies with the request, authorization, company policy, and HIPAA regulations.

  • This position is remote and limited to candidates located in Texas.

Essential Functions

  • Processes release of information requests, including retrieving and returning the patient’s medical chart, accurately scanning the medical record, and transmitting records daily in accordance with the request, established procedures, and quality and productivity standards.
  • Date-stamps all requests and highlights relevant information to support processing.
  • Verifies requests and authorizations for release of medical information according to established procedures.
  • Conducts quality checks on all work to ensure accuracy, confidentiality, and correct invoicing.
  • Keeps equipment in excellent working condition (inside and out).
  • Provides excellent customer service by being attentive and respectful, ensuring the customer understands the request, following through as promised, and proactively identifying client concerns or issues.
  • May receive incoming requests such as opening mail, handling phone inquiries, and retrieving fax communications, depending on client needs.
  • Maintains a neat, clean, professional appearance and follows the required dress code.
  • Keeps the work area clean and organized, ensuring records and files are properly stored before leaving the area.
  • Maintains knowledge of applicable state laws and fee schedules.
  • Works within the scope of the role and follows direction; accepts assignments readily and is available to support additional facilities or assist during periods of high volume.
  • Fulfills responsibilities in line with client/site policies and procedures, including HIPAA, state/federal regulations related to operations, and labor regulations.
  • Maintains confidentiality, security, and ethical standards for all information.
  • Handles privileged information responsibly while releasing medical records in an efficient, effective, and accurate manner.

Qualifications

  • High School Diploma (GED) required
  • Minimum of 2 years of prior experience in a medical records department or similar setting preferred
  • Strong computer skills required, including working knowledge of Microsoft Word and Excel
  • Excellent organizational skills required
  • Ability to type 50 words per minute
  • Ability to use a fax machine, copier, and scanning equipment
  • Willingness to quickly learn new equipment and processes
  • Self-motivated and able to work well in a team
  • Demonstrated customer satisfaction skills
  • Ability to multitask
