Seeking a highly skilled, detail-oriented Remote Executive Assistant to coordinate complex tasks, handle confidential communications, and provide administrative support for an executive with sensitive, time-sensitive responsibilities.
**Key Responsibilities:**
– Create and manage an Asana-based task management system between two executives in different locations, including setup, ongoing updates, and relaying communications.
– Communicate with a second executive on behalf of the primary hiring executive to track project updates, task ownership, and shared deadlines.
– Maintain strict confidentiality, professionalism, and a mature tone in all communications.
– Manage and triage high-volume email inboxes (Outlook and Gmail), identify key action items, and assist with follow-up as instructed.
– Support scheduling across Google Calendar and Microsoft Outlook.
– Help organize inboxes, manage documents, set up cloud backups, and clean up remote desktop files.
– Coordinate business travel and personal logistics as needed.
– Support household or operational errands that may require online research, placing orders, or contacting vendors; may also include scheduling medical appointments (e.g., dental).
**Required Qualifications:**
– Must be based in the United States
– At least 5 years of experience in executive assistance or remote operations support
– Extensive experience with Asana, including building systems and implementing them with teams
– Excellent written communication and exceptional attention to detail
– Strong proficiency with Google Workspace and Microsoft Outlook (email, calendar, and file organization)
– Demonstrated ability to work independently, maintain discretion, and act with maturity and speed
– Experience with Excel
