**Job Summary**
This role is responsible for processing all requests for release of information in a timely and efficient manner, ensuring accuracy while delivering the highest level of product quality and customer service. At all times, the associate must protect the patient’s right to privacy by ensuring only authorized individuals access the patient’s medical information and by making sure every release follows the request, authorization, company policy, and HIPAA regulations.

**Essential Functions**
– Processes release of information requests, including retrieving and returning patient charts, accurately scanning medical records, and transmitting records daily according to the request, established procedures, and quality and productivity standards.
– Dates all requests and flags relevant information to support efficient processing.
– Reviews and verifies requests and authorizations for release of medical information according to established procedures.
– Performs quality checks to confirm accuracy, confidentiality, and correct invoicing.
– Keeps equipment in excellent working condition, both inside and out.
– Delivers excellent customer service by being attentive and respectful, ensuring the customer’s request is understood, following through as promised, and proactively identifying client concerns or issues.
– May handle incoming requests such as opening mail, answering telephone inquiries, and retrieving fax requests, based on client needs.
– Maintains a neat, clean, professional appearance and follows the required dress code.
– Keeps the work area clean and organized, ensuring records and files are properly stored before leaving the area.
– Maintains current knowledge of state laws and fee schedules.
– Works within the scope of the position and follows direction; accepts assignments willingly and is available to support additional facilities or help during backlog periods.
– Follows client/site policies and procedures, including HIPAA, state/federal operational regulations, and labor regulations.
– Maintains confidentiality, security, and ethical standards for all information.
– Handles privileged information carefully while releasing medical records efficiently, effectively, and accurately.

**Qualifications**
– High School Diploma (or GED) required
– At least 2 years of prior experience in a medical records department or similar setting preferred
– Strong computer skills required; working knowledge of Microsoft Word and Excel needed
– Excellent organizational skills required
– Ability to type 50 words per minute
– Ability to use fax machines, copiers, and scanning equipment
– Willingness to learn new equipment and processes quickly
– Self-motivated team player
– Demonstrated customer satisfaction skills
– Ability to multitask
