About the Role
Do you enjoy turning chaos into order through systems thinking?
We’re looking for a Remote Executive Assistant (Independent Contractor) to support Mel Dorman, a real estate investor, author, and founder of the Seller Financing Academy.
This is a flexible part-time contractor role (approximately 30 hours per week) for a proactive person who enjoys building structures, automation systems, and communication processes that give leadership more time.
About Mel
Mel Dorman is a Portland-based entrepreneur and financial activist who helps people build community-centered wealth through innovative real estate strategies. She manages a multi-million-dollar portfolio, leads a national coaching academy, and speaks at events frequently—everything requires strong behind-the-scenes coordination and system-based support.
Responsibilities
You’ll own the operational side of Mel’s world: managing her inbox and calendar, coordinating communications with students, and maintaining automation systems—with ownership, accuracy, and follow-through.
Executive Support
Manage inbox and calendar: filter, prioritize, and draft responses
Coordinate meetings, speaking engagements, and podcast appearances
Organize travel and build itineraries
Handle media requests and partnership outreach (bio, photos, and similar materials)
Systems & Operations
Create and maintain SOPs to improve efficiency
Set up automations in HubSpot, Zapier, and OnceHub
Write and schedule newsletters, reminders, and announcements for students
Track testimonials, affiliate payments, and digital assets
Seller Financing Academy Support
Onboard new students and manage follow-ups
Monitor student inboxes and questions, escalating when needed
Manage student access, payment plans, and course communications
Property Administration Coordination
Prepare lease agreements and renewals using approved templates
Track rent increases and renewal timelines
Organize monthly financial documents for accountants

Required Qualifications
3+ years of experience as an Executive Assistant or Administrative Assistant
Proficiency with Google Workspace, HubSpot (or a similar CRM), Zapier/Make, ChatGPT, and QuickBooks Online
Excellent written communication and strong attention to detail
Comfort working independently and handling confidential information
Be in a time zone overlapping with 9:00 AM to 1:00 PM Pacific Time
Plus Points
Experience in real estate, AI automation, coaching, or online education
Experience supporting thought leaders or course creators
Some design or writing skills (newsletters, templates)
Knowledge of seller financing or community-based entrepreneurship
Contract Details
Independent Contractor (1099)
Approximately 30 hours per week at $35 per hour
Flexible schedule during business hours
Monthly invoicing; quarterly renewal
Potential for a long-term partnership for the right person
