Key Responsibilities
• Coordinate with external suppliers to track orders for raw materials and components needed for our manufacturing partner, ensuring they are delivered to their facilities on time.
• Monitor supplier progress, verify order statuses, and resolve minor issues such as delays or discrepancies, escalating more complex problems to management or external regulatory teams when necessary.
• Prepare and send production orders to our manufacturing partner by email, including product details, quantities, and expected delivery timelines as defined in our cooperation agreement.
• Follow up on production orders, confirm acceptance, and ensure execution stays within agreed timelines (usually 8–12 weeks), communicating any updates or delays promptly.
• Transfer required documentation—such as certifications and product specifications—between the manufacturing partner and external regulatory teams.
• Coordinate the pickup or shipment of finished goods from the manufacturing partner’s warehouse to our third‑party logistics provider for storage and distribution.
• Communicate regularly with the 3PL provider to confirm arrival schedules, verify palletization and labeling, and resolve any logistical issues such as delays or incorrect shipments.
• Provide the 3PL with all necessary documentation, including logistics labels and WZ documents, ensuring proper compliance.
• Serve as the main point of contact between suppliers, the manufacturing partner, and the 3PL provider to keep processes aligned and running smoothly.
• Track key milestones—such as order placement, production completion, and 3PL intake—and share updates with internal teams like sales and operations.
• Escalate major issues, including force majeure, quality concerns, or significant delays, to management within required timeframes (e.g., within 3 days per contract).
• Maintain accurate records of orders, communication, and delivery confirmations for the entire warranty period (up to 24 months or product shelf life).
• Provide reports on process performance, such as delivery timeliness and communication gaps, and recommend improvements.
• Support complaint handling by coordinating with the manufacturing partner and 3PL, arranging product inspections, and sharing information with external regulatory teams.
Qualifications and Skills
• Experience: 2–5 years in supply chain coordination, logistics, or operations, ideally in cosmetics, fragrances, or FMCG. Experience in eCommerce or with 3PL partners is beneficial.
• Language: Fluency in Polish and English, both written and spoken, to communicate effectively with the Poland-based manufacturing partner and global teams.
• Skills: Strong organizational and communication abilities, proficiency in email and basic ERP or order management systems, and the ability to manage multiple stakeholders with proactive follow-up.
• Personal qualities: Detail‑oriented, dependable, and skilled at problem‑solving in a fast‑paced environment. Comfortable working remotely.
