### Key Responsibilities
– Coordinate with external suppliers to monitor orders for raw materials and components needed by our manufacturing partner, ensuring on-time delivery to their facilities.
– Track supplier progress, confirm order statuses, and address minor issues such as delays or discrepancies; escalate larger issues to management or relevant external regulatory teams when needed.

– Prepare and send production orders to our manufacturing partner via email, including product information, quantities, and delivery timelines defined in our cooperation agreement.
– Follow up on production orders, confirm acceptance, and ensure execution remains within the agreed timelines (typically 8–12 weeks), providing prompt updates on any changes or delays.
– Transfer required documentation—such as certifications and product specifications—between the manufacturing partner and external regulatory teams.

– Coordinate the pickup or shipment of finished goods from the manufacturing partner’s warehouse to our third-party logistics (3PL) provider for storage and distribution.
– Maintain regular communication with the 3PL to confirm arrival schedules, verify palletization and labeling, and resolve logistical issues such as delays or incorrect shipments.
– Provide the 3PL with all necessary documentation, including logistics labels and WZ documents, to ensure full compliance.

– Act as the primary point of contact among suppliers, the manufacturing partner, and the 3PL to keep processes aligned and running smoothly.
– Track key milestones—including order placement, production completion, and 3PL intake—and share updates with internal teams such as sales and operations.
– Escalate major issues (e.g., force majeure, quality concerns, or significant delays) to management within required timeframes (such as within 3 days per contract).

– Maintain accurate records of orders, communications, and delivery confirmations throughout the warranty period (up to 24 months or the product’s shelf life).
– Produce reports on process performance, including delivery timeliness and communication gaps, and propose improvements.
– Support complaint management by coordinating with the manufacturing partner and 3PL, arranging product inspections, and sharing information with external regulatory teams.

### Qualifications and Skills
– Experience: 2–5 years in supply chain coordination, logistics, or operations, preferably in cosmetics, fragrances, or FMCG. Experience with eCommerce or 3PL partners is an advantage.
– Language: Fluency in Polish and English, both written and spoken, to communicate effectively with the Poland-based manufacturing partner and global teams.
– Skills: Strong organizational and communication skills, proficiency in email and basic ERP or order management systems, and the ability to manage multiple stakeholders with proactive follow-up.
– Personal qualities: Detail-oriented, dependable, and skilled at solving problems in a fast-paced environment. Comfortable working remotely.
