The HR Assistant works in partnership with the Recruitment and HR team to provide efficient and effective service to all the New York, Los Angeles, and Chicago offices, including any remote employees. They are also responsible for taking ownership of facilitating the handoff between recruiting and HR, onboarding candidates and assisting the US team with people related projects and requirements as needed.
This is a full-time staff role with benefits and requires working a hybrid schedule with at least 3 days per week onsite in our studio; ideal candidates will be based locally in either the Los Angeles or New York areas.
Responsibilities:
Responsible for updating candidates accordingly in applicant tracking system, HRIS, and ensures integrity of data within the various softwares
Assist with emailing and calling prospective candidates, scheduling interviews, and processing necessary new hire paperwork
Communicate effectively with candidates and new hires. Work closely with systems, training, and hiring managers
Scheduling and managing follow-up meetings regarding various Talent needs
Assist with daily and weekly reporting based on function and needs
Ensure systems are updated and maintained with the latest employee information and conduct monthly audit checks
Undertake project work as required
Excellent administration and organizational skills
Experience in a similar role and/or interest in the HR field
Intermediate/advanced level – Word, Excel, and other software packages/systems
Well organized, with strengths in prioritizing, time management, forward planning, and attention to detail
Self-sufficient & self-starter. Ability to act independently without direct supervision
Ability to build and develop relationships across the business as well as external training contacts
Tactful and diplomatic
Understanding the importance of confidentiality
Excellent written and verbal communication skills
Ability to work well in a demanding environment
