The Role
Hopin is seeking an Administrative Assistant to serve as a partner to our VP of Engineering and the wider eng leadership team. You will be at the core of the department’s operations and activities. Your work will enable the engineering department to maximize their productivity by simplifying collaboration and connection with one another. You will partner with your leaders to help them achieve their goals and objectives as well as work with other admins in the Events org. The ideal candidate for this role will be friendly, energetic, personable and willing to take the initiative to jump in and assist with issues as they arise.
About You
- Understand the business preferences and priorities of your leadership team in order to best support their time
- Experience in managing multiple diaries with strong attention to precision & detail
- Lead and coordinate logistics for internal and external meetings, go-to person for team questions
- Manage inquiries quickly, proactively, and follow through on tasks to successful completion
- Support your leaders in maintaining relationships with key people to ensure progression in communications and to surface and pursue opportunities for collaboration
- Embrace the culture, values, and goals of your leaders when engaging with internal and external stakeholders
- Assist with special projects as needed
- Recognize operational weaknesses and help sharpen processes or develop new ones
- Collaborate with other members of the admin team to provide seamless support for the company
What We’re Looking For
- 5+ years experience as a Administrative/Team Assistant
- Experience of working within Engineering or Product orgs
- Have background managing meeting prep & dynamic calendars
- Exceptional attention to detail
- Ability to consistently contribute in a high-paced, changing work environment, with the ability to prioritize multiple functions and tasks and manage work time efficiently.
- Capacity to navigate, digest, and make decisions amidst uncertainty
- Technologically savvy with the ability to quickly learn new applications and tools
- Possess discretion and sensitivity towards confidential information
- Proactive and motivated to emphasize on current processes and build efficient systems
- Understand the highly adaptable nature of support work and are comfortable with being available as needed.
