About the Role
As our Accounts Payable Specialist, you play a key role in keeping operations running smoothly at Poppy & Peonies. Reporting to the Accountant, you’ll manage the full accounts payable cycle—ensuring vendor payments are accurate and timely, expenses are properly coded, and our financial records stay reliable. Your accuracy and organization support the financial stability that helps our business grow.

The Opportunity
Accounts Payable & Expense Management:
• Manage the full AP process from invoice intake to payment.
• Review, code, and process invoices accurately and promptly.
• Match invoices with purchase orders and receiving documents, resolving discrepancies.
• Handle employee expenses and corporate credit card reconciliations in line with policies.
• Keep vendor records and payment terms up to date.
Vendor & Internal Partnerships:
• Act as the main contact for vendor inquiries.
• Collaborate with Operations, Production & Logistics, and Marketing to resolve billing issues.
• Support strong vendor relationships through timely, accurate payments.
Month-End & Reporting:
• Prepare AP-related journal entries and reconciliations for month-end close.
• Assist with accruals and ensure expenses are recorded properly.
• Support audits and year-end processes with organized documentation.
Compliance & Controls:
• Ensure expenses follow policies and approval workflows.
• Confirm sales tax accuracy and flag issues as needed.
• Help maintain strong internal controls.
Process Improvement & Scaling:
• Identify ways to streamline AP processes through better documentation and automation.
• Assist with system upgrades, new tools, and policy updates as the business grows.
• Support ad hoc finance and cross-functional projects.
What You Bring
• 2–4+ years of experience in accounts payable or finance operations, ideally in a fast-paced environment.
• Strong attention to detail and proven accuracy.
• Experience with accounting systems like QuickBooks and tools like Dext or Expensify.
• Strong Excel or Google Sheets skills.
• Highly organized, dependable, and comfortable with recurring deadlines.
• Strong communication skills and a collaborative nature.
• Ability to work independently while supporting team goals.
• A positive, solutions-driven mindset and willingness to learn.

Location & Hours
• We’re seeking someone in the Eastern Time Zone to join our remote team.
Compensation & Benefits
• Annual salary: $70,000–$80,000 CAD
• 3 weeks of paid vacation
• $1,500 annual health spending account
• $250 annual menstrual care budget
• $1,000 annual product allowance
• $400 one-time home office setup allowance
