ROLE SUMMARY
This role reports to the Global Accounting Compliance Controller and is responsible for maintaining and managing the Onestream system. You will ensure the system’s integrity, performance, and reliability; troubleshoot and resolve system issues; support end users; and drive improvements to meet evolving business needs.
Working closely with Finance and IT, the Onestream Administrator will help continuously strengthen financial control and reporting processes, ensuring data accuracy, compliance, and operational efficiency. This includes using automation and emerging AI capabilities within Onestream and related tools to improve data quality, streamline workflows, and enhance the user experience.
The position is also responsible for producing documentation, creating and delivering user training, and contributing to development of a strategic roadmap to ensure alignment with business objectives and the system’s future direction.
The role has no direct reports, but will be supported by another team member who assists with day-to-day and BAU (business-as-usual) system administration tasks.
What you will do
- System administration:
- Manage metadata
- User management (setup, disablement, access controls, etc.)
- Manage system configuration
- Maintain and support manual and automated interfaces and integrations (e.g., with SAP)
- Data management, including data loading, validation, and reconciliation processes to ensure accuracy across entities and reporting hierarchies
- System monitoring and issue resolution—oversee daily operations, identify issues, troubleshoot, and resolve problems quickly to ensure smooth service
- Identify opportunities to apply automation or AI-driven controls to improve accuracy, strengthen validation, or reduce manual effort where appropriate
- User training and support:
- Be the first point of contact for user questions
- Manage the JIRA ticketing system
- Deliver structured onboarding, training, and ongoing knowledge sessions
- Use AI-enabled tools to improve training materials, user communications, and documentation when beneficial
- Process improvement and roadmap development:
- Find and implement opportunities to optimize system usage and streamline existing processes
- Stay current with new developments and trends in the Onestream Solution Exchange, using the latest functionality to improve Sophos processes
- Partner with stakeholders to define and maintain an Onestream roadmap, ensuring enhancements align with strategic business priorities
- Assess and integrate relevant emerging AI capabilities (e.g., predictive analytics, automated reconciliations, workflow optimization, and intelligent reporting) into the roadmap
- Other:
- Reporting & Analysis—support the design, development, and maintenance of Onestream reports, dashboards, and templates. Contribute to opportunities to include AI-assisted insights where appropriate
- Upgrades & Enhancements—help with system upgrades, testing, and deployment of new features or modules, including those involving automation or AI functionality
- Collaboration—work closely with Finance, IT, and external consultants to ensure the system supports compliance, controls, and operational excellence
- Documentation—create and maintain comprehensive system and process documentation, including user guides, change logs, and configuration records. Use AI tools to improve clarity, version control, and efficiency of documentation workflows
- Keep knowledge of Onestream up to date
- Actively participate in internal AI and digital finance learning programs
- Attend relevant workshops, industry forums, and professional development events to stay informed about best practices and emerging technologies in finance automation

What you will bring
- Essential
- Experience administering Onestream
- Strong skills in Excel and other Office 365 applications
- Knowledge of accounting concepts and principles
- Understanding of core financial processes and best practices
- Proven ability to troubleshoot and resolve system issues, with the ability to explain technical concepts to non-technical users
- Experience partnering with the business and managing relationships with multiple stakeholders
- Experience delivering user training and developing system roadmaps
- Experience documenting processes and procedures
- Excellent troubleshooting and problem-solving skills
- Degree level qualification or equivalent
- Desirable
- Exposure to AI- or automation-enabled finance tools
- Exposure to other systems—experience with SAP is a plus
- Experience working in a software company, ideally within a global organization and supporting global finance initiatives as part of a global finance team
- Experience supporting system upgrades, testing cycles, or user acceptance testing (UAT)
- Experience on financial systems projects or implementing financial systems
- Experience with Onestream business rules and building cube views
- Project management experience
- Degree in Accounting, Finance, Information Systems, or a related field
- Professional qualification or partial qualification (e.g., ACCA, CIMA) is a plus
