Your role
Are you passionate about creating an inspiring workplace and fostering a strong company culture? We are looking for an Office & Culture Coordinator to join our team!
In this role, you will be at the forefront of shaping our work environment across multiple locations in Belgium, the Netherlands, the United Kingdom, and Luxembourg, ensuring that our office is a welcoming, well-organised, and engaging space where employees feel supported and motivated. From managing office operations to planning memorable events, you’ll play a key role in shaping the employee experience.
You will take ownership of office management, company culture initiatives, and event planning, ensuring that employees have the resources and environment they need to thrive. Whether it’s organising team-building activities, improving office facilities, or enhancing day-to-day workplace operations, your work will directly contribute to a positive and productive atmosphere.
This role works closely with the People Operations & Fleet Coordinator, ensuring seamless collaboration across workplace experience and HR-related operations. At times, you may also assist with HR and administrative matters to support employees and maintain smooth operations.

Your responsibilities
- First Point of Contact & Key Role in Workplace Environment: Act as the first point of contact for both internal and external stakeholders, playing a key role in creating a welcoming and efficient work environment.
- Office & Facility Management: Take full ownership of office facilities, ensuring timely maintenance, repairs, and improvements to create a comfortable and efficient workspace by overseeing day-to-day operations, vendor relationships, and office upkeep for our various locations. Including maintaining office supplies and equipment. Lead and coordinate office renovation or redesign projects to enhance the workplace environment.
- General Administrative & Operational Support: Assist and support the People Team with administrative and operational tasks.
- Culture & Employee Experience: Drive initiatives that strengthen company culture and employee engagement, ensuring a positive and inclusive work atmosphere.
- Recognition Initiatives: Manage and develop employee recognition programs (such as the Dino Program) to celebrate achievements and foster team spirit.
- Events & Team Activities: Plan and execute local and company-wide events, including team-building activities, celebrations, and cultural initiatives that bring employees together.
- Communication & Community Building: Ensuring strong internal communication and fostering a sense of community within the workplace.
- Health & Safety: Ensure the office complies with health and safety regulations, proactively addressing workplace safety concerns and implementing necessary protocols, including taking on the role of internal prevention advisor.
- Continuous Improvement & Best Practices: Stay ahead of industry trends and best practices, proactively seeking ways to enhance the overall workplace experience.
What will support your success?
- 1-3y of experience in office management, facility management and/or event coordination.
- A natural collaborator with outstanding organisational skills and a knack for juggling multiple priorities with ease.
- Exceptional communication and interpersonal skills, with the ability to build rapport and relationships across all levels of the organisation.
- Fluency in Dutch and English.
- A problem solver with a keen eye for detail and a commitment to excellence.
- Proficiency in Google Docs and Sheets; experience with HR management software (e.g., HRIS) is a plus.
- Excellent judgement, discretion, and ability to handle sensitive matters with care.
- Pragmatic, solution-oriented mindset with a proactive approach.
- Resilience and adaptability in a fast-paced, evolving environment.
- Act as an ambassador for the company, embodying the culture and living our values.
