Job Summary:
We are seeking a detail‑focused and highly organized Contract Specialist to support the administration of government contracts. In this role, you will manage contracts from start to finish, oversee project financial controls, and maintain the GSA contract catalog. You will play a key role in ensuring compliance, financial accuracy, and timely delivery of all contract obligations.
Key Responsibilities:
• Contract Administration: Manage and track correspondence, contract changes, and related documentation using Google Drive. Keep an updated master list of contracts with essential details such as dates, funding, and other critical information.
• Project Financial Controls: Conduct financial analyses for government contracts and prepare customer financial reports, including estimates at completion and variance analyses. Work with project teams to ensure financial compliance.
• Invoicing: Partner with program managers to verify the accuracy of invoicing data, including subcontractor hours and costs. Prepare and submit invoices to government and commercial clients, and coordinate with accounting to confirm project codes, billing, and historical records.
• GSA Compliance: Act as the authorized negotiator for the GSA contract. Submit sales reports, pay required fees, and manage pricing and labor category modifications. Ensure compliance with GSA and internal policies, including discount requirements. Maintain accurate records and contract files.
• Data Calls and SAM: Support business development with data calls, Reps and Certs, and pricing compliance tasks. Manage updates to SAM registrations, FAR reports, and NAICS codes. Submit Service Contract Data Reports using maintained financial information.
• Compliance and Governance: Assist with creating governance procedures and training materials. Support ISO-related efforts, including audits and ongoing compliance with regulatory and financial controls.
• General Support: Provide additional assistance to ensure effective contract management and regulatory compliance. Support internal and external audits as necessary.
Required Qualifications:
• Bachelor’s degree in Business Administration, Management, or a related discipline.
• At least 5 years of experience in government contracting (both prime and subcontracting), including expertise with GSA schedules (GWACs, BPAs, IDIQs) and experience with fixed-price, time‑and‑materials, and cost‑reimbursable contracts.
• Strong experience with full‑cycle contract administration and subcontract management.
• Skilled in financial analysis, cost reporting, and project tracking.
• Exceptional attention to detail and a proactive work style.
• Ability to work independently and meet deadlines.
• Experience with government invoicing systems such as PIEE/WAWF is preferred.
• Proficiency with Google Workspace, QuickBooks, Notion, and Slack.
• Familiarity with project management tools and methodologies.
• Strong communication, organizational, and interpersonal abilities.
• Ability to manage multiple tasks and perform well under pressure.
• Knowledge of ISO standards and compliance processes.
• Understanding of Supplier Management practices.
• U.S. Citizenship required.
