We are looking for a highly organized, execution-focused Event Marketing Coordinator to plan and deliver integrated online and offline marketing events, including webinars, quarterly release campaigns, industry events, and our flagship customer conference.
In this role, you will help ensure alignment across teams, manage timelines, coordinate vendors, and deliver high-impact marketing programs smoothly. You will report to the Head of Product Marketing and work closely with DemandGen and Brand Marketing. This is a non-exempt role that allows you to work remotely anywhere in the U.S. or from Olo’s headquarters in NYC.
**What you’ll do**
– Coordinate and execute virtual events, webinars, industry events, and customer conferences
– Manage integrated campaigns for quarterly product releases and release activations across product and GTM functions
– Serve as the main coordination point across marketing, sales, product marketing, and external vendors
– Support internal and external communications to keep stakeholders aligned on timelines, deliverables, and expectations
– Oversee event logistics, including scheduling, asset tracking, vendor coordination, invoice management, and execution details
– Track project progress, identify risks, and ensure deadlines are met
– Coordinate data collection and stakeholder feedback to support post-event and campaign reporting
**Program & campaign execution**
– Create detailed project playbooks with timelines, milestones, and dependencies
– Support webinars, product release coordination, and virtual events
– Handle customer communications related to events, product updates, and release participation
– Assist with end-to-end execution of industry events and trade shows (logistics, materials, vendor coordination)
– Support planning and execution for the annual customer conference
**Cross-functional coordination**
– Coordinate across demand generation, product marketing, brand, sales, partnerships, and external partners
– Provide regular project status updates and stakeholder communications
– Maintain clear documentation of roles, responsibilities, and deadlines
**Vendor & budget management**
– Coordinate with external vendors such as event agencies, platforms, and production teams
– Track vendor deliverables and ensure vendor timelines are met
– Support budget tracking and invoice coordination
**What we’ll expect from you**
– 2+ years of experience in project management, marketing coordination, or event execution (ideally in B2B SaaS or technology)
– Strong project management, organizational, communication, and time management skills, with the ability to manage multiple projects at once
– Experience supporting webinars, virtual events, and/or trade shows
– Experience supporting large-scale events or customer conferences
– Excellent written and verbal communication skills
– Experience with customer marketing and customer communications
– Ability to collaborate across teams and manage multiple stakeholders
– Strong attention to detail, follow-through, and problem-solving skills
– Comfort working in a fast-paced, deadline-driven environment
– Familiarity with marketing automation, webinar, and project management platforms (e.g., HubSpot, Optimizely, Zuddl, CVENT)
– Experience in B2B SaaS—especially restaurant technology, payments, or marketing platforms—is strongly preferred
– Basic knowledge of demand generation and campaign strategy is strongly preferred
