About the Role
The Williamsburg Adventures (WAD) Program Assistant supports the Adventures Program by helping to manage key administrative tasks, facilitate smooth communication, and ensure a high-quality student experience. This role works closely with the Program Lead to support course operations, meeting coordination, grading, and waiver management in alignment with Williamsburg Learning’s standards.
Essential Duties
1. Agenda Management & Meeting Support
Attend recurring and ad-hoc meetings as requested by the Program Lead.
Prepare agendas, take detailed meeting notes, and track follow-up action items.
Hold regular 1:1 check-ins with the Program Lead to align on tasks and priorities.
2. Grading & Feedback
Grade student assignments in Canvas with accuracy and thoughtful, standards-aligned feedback within 4 days.
Monitor assignment weighting and grading consistency across sections to ensure fairness and clarity.
3. Technology & Waiver Management
Manage sign-up sheets and waivers for all adventures.
Respond promptly to questions or issues related to sign-ups, waivers, or other technology tools.
Strong Google Suite skills.
Proactively notify Leads if a student’s waiver is missing before an adventure.
Regularly update and distribute printable waivers to Leads as needed.
4. Communication & Course Support
Collaborate with the Program Lead to ensure Adventures course communications are clear, timely, and aligned with Williamsburg Learning guidelines.
Support the setup and maintenance of course content in Canvas when needed.
5. Additional Duties
Support semester launch tasks and assist with various projects as needed, especially during high-demand periods.
Perform additional responsibilities as assigned by the State Adventures Coordinator.
Minimum Qualifications
- Experience in project support or coordination, with strong organizational and time management skills.
- Proficient with technology tools like G-Suite, Zoom, Asana, and similar platforms, with excellent written and verbal communication.
- Self-motivated team player with a growth mindset, able to manage projects, solve problems, and take initiative while being open to feedback.
- Ability to pass a criminal background check and work at a computer for extended periods.
- Strong organizational, leadership, and decision-making skills.
Preferred Qualifications
- Experience working in Williamsburg Adventures or similar programs
- Experience working with students in grades 6-12
$21 – $21 an hour
This part-time position pays $21 per hour for up to 10 hours per week.
