What is the role?

We’re seeking a highly organised Accounts and Operations Coordinator to oversee day-to-day business activities and administration. If we had an office, this would be an Office Manager role. You’ll help ensure everything runs smoothly and support different areas of the business as needed. In this position, you’ll use Xero and other tools to coordinate and process accounts payable, payroll, and bank reconciliations.

This role is expected to be around 20 hours per week. Since it’s a new position, there’s also potential for it to grow over time. You’ll have the chance to share your skills and ideas to help build an exceptionally efficient company.

What will you do?

Your daily responsibilities will include:
– Processing accounts payable and liaising with all departments on requirements
– Coding invoices and expenses to track business spending
– Working with department leads to optimise spending
– Handling bookkeeping tasks: entering receipts and payroll into our accounting system (Xero), completing bank reconciliations, and helping prepare monthly reports
– Supporting payroll preparation
– Assisting with implementing new processes to improve efficiency and accuracy
– Reviewing subscriptions and tools, discussing needs with business leaders, and researching the best options
– Managing team lifecycle administration, including onboarding, offboarding, generating letters, and updating the HR system

Who are we looking for?

The ideal candidate is exceptionally organised. You can manage an ongoing workload, improve processes, and collaborate effectively. Ideally, you will have:
– Experience in accounts operations in a similar role or setting
– Experience managing payroll for a similar-sized Australian organisation
– Strong knowledge of Australian financial systems and requirements
– Excellent communication and collaboration skills
– The ability to stay organised and communicate effectively in an asynchronous, remote environment
– Strong project management skills
– A self-starter mindset with the ability to manage your time across competing priorities
