The Billing Specialist is responsible for completing assigned financial tasks that support the day-to-day operations of the Billing/Revenue Cycle Department. We are seeking someone who is highly driven to solve problems, actively pursues collections, works well in a team, and ensures every claim is handled with care and urgency.
Paid time off and benefits are available after 30 days of employment. After training, this will be a hybrid role, with the opportunity to work 3 days in the office and 2 days remotely each week.
**Position Responsibilities may include, but are not limited to:**
– Create billing reports for assigned agencies
– Submit accounts receivable claims and/or invoices for weekly/monthly billing for assigned agencies
– Reconcile assigned state or local agencies
– Research and resubmit billing to assigned agencies
– Review quality assurance for all referrals or updated clients received from assigned state or local agencies
– Place outbound and inbound calls and send emails to assigned state or local agencies to obtain correct information regarding new referrals, updated clients, and billing
– Perform complex billing tasks, mentor junior staff, and lead cross-functional initiatives
– Reduce agency payment backlogs
– Conduct in-depth audits of project data to identify and resolve billing discrepancies
– Demonstrate strong performance through accuracy, timeliness, and customer satisfaction metrics
– Use advanced Excel functions (e.g., VLOOKUP) and reporting tools in CRM and SharePoint
– Handle complex billing situations, including denials, rejections, and aging accounts
– Partner with Posting teams to resolve discrepancies and support month-end close
– Prepare and submit electronic claims, paper claims, and invoices (CMS-1500, UB forms, invoices, and payer portals, etc.)
– Resolve claim rejections promptly and address claim denials through research, appeals, claim corrections/resubmission, and follow-up with health plans
– Ensure billing is accurate and compliant with regulations for multi-state Medicaid and MCOs, Medicare Advantage, and Older Americans Act programs
– Ensure assigned payers’ aged outstanding balances remain within department standards
– Participate in process improvement efforts and collaborate across teams to resolve issues, claim denials, and aging
– Perform other duties as assigned, including supporting projects that affect collections or write-offs
**Required Skills and Experience:**
– High school diploma or GED
– 2+ years of relevant work experience in healthcare, such as healthcare billing (institutional and professional claims), patient registration, and/or patient access
– Intermediate Excel skills
– Strong written and verbal communication skills
– Ability to multitask, prioritize, and maintain strong attention to detail
– Ability to work effectively with team members across multiple departments
– Ability to work independently with strong critical thinking and problem-solving skills
– Experience with Waystar, CRM, D365, and/or electronic health record systems
– Must have a wired internet connection via an ethernet port. Broadband wired internet is required (cable modem/service or fiber optic). No satellite, 4/5G, or DSL connections
– Must have a quiet, distraction-free workspace
**Preferred Skills and Experience:**
– Bachelor’s degree in healthcare administration, medical administrative assistance, or healthcare finance
– Prior experience with electronic claims (e.g., electronic 835/837 claim and remittance files), Zirmed, and/or secure payer web portals
– AAHAM and/or HFMA certification
– Knowledge of CMS regulations and familiarity with healthcare billing standards and compliance
– Experience with Waystar, CRM, D365, and/or electronic health record systems
**Physical Requirements:**
– Repetitive hand/wrist/finger movements
– Sedentary work that primarily involves sitting and remaining stationary for extended periods
– Visual ability to perform the job, including peripheral vision, depth perception, and the ability to adjust focus
