About the role
We’re looking for a highly organized, detail-oriented, and design-minded professional to take on a combined role as Events Coordinator (80%) and Executive Assistant (20%). This is a great opportunity for someone who thrives in a fast-moving environment, has an eye for aesthetics, and enjoys working remotely with a global team.
Key responsibilities
Executive Assistant to CEO (20%)
– Manage travel arrangements and event bookings with ease and adapt quickly to changes.
– Ensure the CEO’s calendar is seamlessly coordinated with travel and events.
– Process expense reports and invoices efficiently.
– Stay highly responsive across multiple communication channels.
– Provide discreet personal support, such as planning trips and booking restaurants.
– Work closely with the CEO and the Chief of Staff (former Executive Assistant).
Events (80%)
– Lead the planning and execution of events, bringing creativity and strong organization to every detail.
– Coordinate team involvement at conferences, including booth setup, branding materials, and logistics to ensure a strong company presence.
– Organize and run high-impact side events such as networking happy hours, C-level dinners, and other gatherings to increase brand visibility and build industry relationships.
– Partner with the marketing team to create event and conference merchandise that reflects the company’s brand.
– Source, negotiate with, and manage vendor relationships to secure excellent services and products for all events and conferences.
– Collaborate with Marketing and Business Development to align event strategies, execution plans, and promotional activities.
Ideal candidate profile
– Proven experience as an Executive Assistant, skilled at managing complex schedules and supporting senior leaders.
– Strong track record of organizing and executing corporate events and conferences, including team logistics and planning engaging side events.
– Willingness to travel internationally as needed to oversee event and conference setups and provide hands-on support.
– Exceptional organizational skills, strong attention to detail, and the ability to manage multiple projects at once.
– Creative and design-oriented, with a good sense of branding and aesthetics for events and merchandise.
– Excellent communication skills, able to coordinate effectively with internal teams and external partners.
– Proactive and innovative, always looking for new ways to improve event experiences and support strategic goals.
– Solid business judgment, including negotiation skills and budget management, to ensure cost-effective event planning and execution.
