We are seeking a highly organized and execution-focused Event Marketing Coordinator to support the planning and delivery of integrated online and offline marketing events, including webinars, quarterly release campaigns, industry events, and our flagship customer conference.

This individual will play a critical role in driving cross-functional alignment, managing timelines, coordinating vendors, and ensuring seamless execution of high-impact marketing programs. The role reports to the Head of Product Marketing and partners closely with DemandGen and Brand Marketing.

This is a non-exempt position where you can work remotely from anywhere in the U. S. or at Olo’s headquarters in NYC.

What You’ll Do

  • Coordinate and execute virtual events, webinars, industry events, and customer conferences
  • Manage integrated campaigns for quarterly product releases and release activations across product and GTM functions
  • Act as the central point of coordination across marketing, sales, product marketing, and external vendors
  • Support internal and external communication to ensure all stakeholders are aligned on timelines, deliverables, and expectations
  • Oversee logistics, including scheduling, asset tracking, vendor coordination, invoice management, and event execution details
  • Monitor project progress, identify risks, and ensure deadlines are met
  • Support post-event and campaign reporting by coordinating data collection and stakeholder feedback
  • Program & Campaign Execution
    • Detailed project playbooks with timelines, milestones, and dependencies
    • Execution of webinars, release orchestration, and virtual events
    • Customer communications around events, product updates, and release engagements
    • End-to-end support for industry events and trade shows (logistics, materials, vendor coordination)
    • Planning and execution support for the annual customer conference
  • Cross-Functional Coordination
    • Alignment across demand generation, product marketing, brand, sales, partnership teams, and external partners
    • Regular project status updates and stakeholder communications
    • Clear documentation of roles, responsibilities, and deadlines
  • Vendor & Budget Management
    • Coordination with external vendors (event agencies, platforms, production teams, etc.)
    • Tracking deliverables and ensuring vendor timelines are met
    • Supporting budget tracking and invoice coordination
What We’ll Expect From You

  • 2+ years of experience in project management, marketing coordination, or event execution (preferably in B2B SaaS or tech)
  • Strong project management, organizational, communication, and time management skills with the ability to manage multiple projects simultaneously
  • Experience supporting webinars, virtual events, and/or tradeshows
  • Experience supporting large-scale events or customer conferences
  • Excellent communication skills, both written and verbal
  • Experience executing customer marketing and customer communications
  • Ability to work cross-functionally and manage multiple stakeholders
  • Detail-oriented with strong follow-through and problem-solving abilities
  • Comfortable working in a fast-paced, deadline-driven environment
  • Familiarity with marketing automation, webinar, and project management platforms (e.g., HubSpot, Optimizely, Zuddl, CVENT)
  • Experience in B2B SaaS, especially in restaurant technology, payments, or marketing platforms strongly preferred
  • Basic understanding of demand generation and campaign strategy strongly preferred

Our best estimate of the compensation range for this opportunity is $64,500 – $95,000 annually, depending on your experience and location. We look forward to discussing your salary expectations and our full total rewards offerings throughout the interview process.
