As our Executive Assistant, you’ll develop systems that protect focused work across our fast‑growing remote team. Your job is to manage the steady flow of information and operations so the Managing Director can stay focused on strategic priorities—your support makes this possible.

Although our team is globally distributed, we work within GMT/UTC collaboration hours. We also meet in person for team gatherings and conferences.
Our SEO content service, Content Growth, delivers monthly SEO‑optimised articles based on a strategy we create to generate strong results. We manage everything from strategy and AI‑supported keyword research (using our FALCON AI) to briefs, writing, publishing, promotion, link building, ranking, and troubleshooting. Our Content team leads production, while our SEO team handles technical needs.

Breakdown of responsibilities:
• 50% process‑based company and MD admin
• 30% reactive tasks and special projects
• 20% meeting preparation, participation, and follow‑up
Remote work relies on trust, and this is especially important in this role. Over time, you’ll take ownership of core responsibilities:
Finance, HR, and Operations:
• Manage daily financial admin such as expenses, draft payments, invoicing, and records
• Oversee client invoicing and payments
• Collaborate with external accountants on reporting, payroll, and pensions
• Handle compliance paperwork and occasional team finance requests
• Support hiring by posting roles, reviewing applications, and initial screening
Meetings:
• Prepare agendas and internal notes
• Attend or watch recorded meetings and produce accurate, valuable minutes
• Draft and assign follow‑up actions and emails
Sales and Marketing Admin:
• Create proposals and contracts from templates, ensuring accuracy on short deadlines
• Draft follow‑up sales emails
• Prepare quotes proactively using previous project data
• Ensure follow‑ups are completed promptly and coordinate with relevant teams
Email Management:
• Maintain an organised MD inbox, drafting or sending replies when appropriate
• Triage emails and present key information clearly for quick decisions
• Develop templates and systems for recurring email types
Travel:
• Plan twice‑yearly team meetups for 20+ people, including research, budgets, travel, restaurants, rooms, and activities
• Handle logistical queries and make sure events run smoothly
• Support Leadership team travel for conferences, often across multiple cities
Special Projects:
• Assist the MD with varied tasks requiring initiative and completion rather than fixed processes
• Lead B Corp‑related work by coordinating policies, delegating tasks, and ensuring deadlines are met
• Prepare and schedule the monthly company newsletter in email and WordPress, and organise related social content with the Graphic Designer
The role includes some flexibility for occasional late‑day meetings with clients in California. Time off in lieu is provided.
You’ll be the only person in the Operations team, working independently while staying well connected digitally. Your mission is to reduce the MD’s operational workload so he can focus on growth. You must be self‑motivated and comfortable working without constant interaction. Occasional personal admin for the MD may be required.
What we’re looking for:
• Excellent attention to detail, especially in written English
• Experience improving systems or processes
• Strong writing and editing ability
• Confidence working remotely and managing your time
• Strong skills with tools like Google Workspace and project management platforms
• Ability to work UK hours with some flexibility
